The Washington Society of CPAs is currently looking for someone to fill the following position:

WSCPA Conference Coordinator

Position Purpose

Responsible for delivering high quality educational conferences, selling and administering conference sponsorships, and coordinating in-house training programs.

Job Functions

Conferences (45%): Manage and administer content development for educational conferences.

  • Oversee conference content including agenda development, and speaker selection.
  • Contact and confirm speakers’ availability; maintain contact as necessary to obtain session information and materials; travel needs.
  • Administer the conference planning and on-site process.
  • Manage all conference-related information in database, on server, and elsewhere as determined by the record retention policy of the company.
  • Work with WSCPA marketing department to prepare conference manual using speaker materials; manual production for distribution at conference.
  • Work with WSCPA technology department on webcast for conference.
  • Provide on-site support for all conferences.
  • Manage application process for other types of continuing education credit when applicable (CLE).
  • Work with director of education on budget issues.
  • Review registration numbers to ensure attendance goals are met.
  • Review and update conference budgets.
  • Provide attendee feedback to all interested parties.

Sponsorship (20%): Oversee and administer the conference sponsorship programs. Tasks include, but are not limited to, the following:

  • Track, analyze, and maintain annual budgets and statistics.
  • Contact past sponsors for new opportunities.
  • Contact new sponsors as appropriate.
  • Invoice sponsors.
  • Ensure all required materials are received from sponsors (logos, ads, etc.).
  • Ensure sponsor logo link is correct and live on conference website.
  • Work with communications department for sponsor signage.
  • Work with education coordinator to ensure sponsor setup at conferences.
  • Develop new avenues for sponsors and sponsor benefits.
  • Coordinate with marketing team to develop materials promoting benefits of sponsorship.
  • Coordinate with member services department on shared sponsors.

In-House Training (20%): Oversee and administer the in-house training programs. Tasks include, but are not limited to, the following:

  • Monitor and follow up on all in-house training leads.
  • Review in-house-training contracts; monitor working agreements with instructors to ensure annual renewal of contracts.
  • Track, analyze, and maintain annual budgets and statistics.
  • Promote WSCPA membership to firms, businesses, and organizations.
  • Build relationships with members and their organizations.
  • Work with communications team to develop marketing materials.
  • Provide relevant feedback to management team and departments.

Education Department Assistance (15%):

  • Answer phones and provide live chat services.
  • Update speaker database as necessary.
  • Seek out potential new speakers using established criteria to add to speaker database.
  • Assist with all education-related events.
  • Assist with other society-wide events as requested.
  • Provide administrative support to the education department as needed.


  • Detail-oriented with excellent organizational, written, verbal, and interpersonal communication skills.
  • Ability to handle multiple tasks, prioritize, adapt quickly to meet deadlines, and follow through on assignments with little or no direction.
  • Customer service experience and strong customer service skills; solid telephone etiquette with the ability to assist customers on all levels.
  • Strategic problem solving.
  • Highly organized.
  • Able to work independently as well as part of a team.
  • Proficiency in Microsoft Office Suite.
  • Proficiency in business writing, spelling, grammar and proofing.
  • Ability to manage multiple phone lines.
  • High school graduate. College degree or work experience equivalent desired.
